Refund & Cancellation Policy

At Vibe Body Conditioning, we are committed to delivering high-quality EMS training services and maintaining fair policies that respect both our clients' time and our business operations. Please read the following Refund and Cancellation Policy carefully before purchasing or booking sessions.

1. Free Trial Sessions

  • Free trial sessions are offered to allow new clients to experience EMS training before committing to a package.

  • Free trial sessions are limited to one per new client.

  • Free trial sessions are non-transferable and have no cash value.

  • If you are unable to attend your free trial session, we kindly ask that you provide at least 24 hours’ notice to reschedule.

  • Failure to attend a booked free trial session without notice may result in forfeiture of the free trial opportunity.


2. Single Sessions

  • Single EMS sessions are purchased individually and must be booked in advance.

  • Single sessions are non-refundable once booked.

  • Sessions may be rescheduled if at least 24 hours’ notice is provided prior to the scheduled appointment time.

  • If less than 24 hours’ notice is given, or if you fail to attend your session, the session will be forfeited and cannot be refunded or rescheduled.

 

3. Session Packages

(Starter Pack – 5 Sessions & Transformation Pack – 10 Sessions)

  • Session packages offer value pricing and are designed to support consistent training and results.

  • All session packages are non-refundable once purchased, except where required by law.

  • Packages are non-transferable to another person unless agreed in writing by Vibe Body Conditioning.

  • Sessions within a package may be rescheduled with at least 24 hours’ notice.

  • Sessions cancelled with less than 24 hours’ notice or missed without notice will be deducted from the remaining sessions in the package.

Package Expiry Periods

To encourage consistency and maintain results, packages must be used within the following timeframes:

  • Starter Pack (5 Sessions): Valid for 6 weeks from the date of first session

  • Transformation Pack (10 Sessions): Valid for 12 weeks from the date of first session

  • Unused sessions after the expiry date will be forfeited unless otherwise agreed at the discretion of Vibe Body Conditioning.

4. Late Arrivals

  • Clients arriving late may receive a shortened session to avoid disrupting scheduled appointments.

  • Sessions will end at the scheduled time regardless of late arrival.

  • Full session fees apply even if the session duration is reduced due to late arrival.

 

5. Cancellations and Rescheduling (24-Hour Policy)

  • We operate a strict 24-hour cancellation policy.

  • Cancellations or rescheduling requests must be made at least 24 hours before the scheduled session time.

  • Notice given with less than 24 hours’ notice will result in the session being forfeited.

  • This policy applies to all session types, including free trials, single sessions, and packages.

 

6. Refund Eligibility (Exceptional Circumstances)

  • Refunds may be considered only under exceptional circumstances, at the sole discretion of Vibe Body Conditioning.

  • Examples may include:

Medical conditions preventing continued participation (medical evidence may be required)
Relocation outside of the service area
Other circumstances deemed reasonable by management

  • Where a refund is approved:

Any completed sessions will be charged at the standard single session rate
The remaining balance (if applicable) may be refunded
Administrative fees may apply


7. Medical Contraindications and Safety

  • EMS training may not be suitable for all individuals.

  • Clients are responsible for providing accurate health information before participating in EMS training.

  • If participation is deemed unsafe due to medical contraindications identified before sessions begin, refunds may be considered at management discretion.

  • If contraindications are disclosed after sessions have begun, refunds may not be available for sessions already completed.

 

8. Payment Terms

  • All sessions and packages must be paid in full prior to the first scheduled session, unless a payment plan has been agreed in writing.

  • Payment plans, where offered, must be completed according to agreed terms regardless of attendance.

 

9. Changes to This Policy

  • Vibe Body Conditioning reserves the right to update or modify this Refund and Cancellation Policy at any time. Any updates will be published on our website and will take effect immediately upon posting.
